Position Description The Project Coordinator plays a key role in supporting the execution of multisite construction and compliance projects by coordinating schedules, assisting with vendor and client communications, tracking project progress, and supporting overall project organization. Working closely with Project Managers and field staff, the Project Coordinator helps ensure timely and efficient completion of project tasks and documentation.
This role is ideal for a proactive and detail-oriented individual with experience in mechanical or construction-related projects. Previous exposure to the petroleum equipment or construction industry is highly valued.
Essential Duties & Responsibilities - Support Project Managers in organizing and tracking project documentation, deliverables, and schedules.
- Coordinate with vendors, contractors, and internal teams to ensure timely task completion.
- Assist with scheduling inspections, site visits, and project-related activities.
- Maintain and update project files, logs, and reports for ongoing and completed projects.
- Prepare and distribute meeting notes, status updates, and project correspondence.
- Monitor task timelines and assist in keeping the project on track with deadlines.
- Help manage procurement requests and deliveries of project materials.
- Assist with maintaining accurate project budgets and financial records.
- Track punch list items and assist in project closeout documentation.
- Communicate updates and coordinate responses to field staff, vendors, and clients.
- Ensure adherence to safety protocols, company policies, and project requirements.
Minimum Work Experience - At least 1 year of experience in a project coordination or administrative support role.
- Exposure to petroleum storage tanks, pumps, piping systems, or tank monitoring equipment is a plus.
- Familiarity with construction project workflows or mechanical systems.
- Strong organizational and administrative skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, etc.).
- Experience supporting cross-functional teams and communicating with vendors or clients.
Preferred Qualifications & Skills - Strong professional written and verbal communication skills.
- Ability to manage multiple priorities, work under strict deadlines, and maintain professionalism.
- Self-motivated, detail-oriented, and process-driven with strong problem-solving skills.
- Ability to organize workload, set priorities, and follow through with minimal supervision.
- Capable of managing projects effectively while ensuring compliance with deadlines, policies, and procedures.
Physical/Additional Requirements - Completion of background check, MVR and physical/drug screening
- Full-time office-based, must be able to sit and stand for extended periods.
- Occasionally required to lift and carry up to 25 lbs. unassisted.
- Ability to move between office locations as needed for project coordination.
