Applications are being accepted for the position of Police Records Specialist with the South San Francisco Police Department.

The Department

The South San Francisco Police Department has 83 sworn and 35 civilian positions. The Department’s philosophy is one of participative management, with a high degree of emphasis on training and education. It employs team and community-oriented policing and problem-solving concepts and recognizes the importance of staying contemporary with technological advances. The Department acknowledges that the responsibility for public safety and the quality of life in our neighborhood is a responsibility share with the whole community. 

A new state-of-the-art Police Department building and 9-1-1 Communications Center was built at 1 Chestnut Avenue, across the road from the former police building. The new Police Building includes a large training room for defensive tactics, a dedicated indoor firearms range, and progressive construction incorporating the latest in Police Station design concepts.  The 9-1-1 Communications center has the latest communications and dispatching technologies to provide improved service and response to South San Francisco residents. 

The Records unit is a part of the Police Department Services Division.  The Records staff consists of four Records Specialists and one Records Supervisor.  The unit is responsible for preparation of court packages for the District Attorney's Office, data entry of pertinent information from written crime and traffic accident reports, and public requests for documents or information.  Police Records Specialists are civilian employees who work under general supervision in the Services Division of the Police Department. Records personnel operate and interact with a variety of computer systems, have regular contact with the public, process Livescan and ink fingerprints, and review and compile crime data for the Department of Justice.  Police Records Specialists are required to work rotating shifts, including holidays and weekends and may be called in for emergencies.

Ideal Candidate

The ideal Police Records Specialist is an excellent multitasker with the ability to work efficiently with frequent interruptions. The ideal candidate will have knowledge ofpersonal computers and their associated applications; records management principles and practices, including filing and indexing methods; English usage, spelling, grammar, punctuation, and vocabulary; and techniques for dealing effectively with the public and City staff, in person and over the telephone. The ideal candidate will also have the ability tolearn, interpret, and apply applicable ordinances, regulations, policies, procedures, and laws; Learn standard police administrative practices and procedures; provide varied, responsible, and often sensitive police administrative work requiring the use of independent judgement, tact, and discretion within established policy and procedural guidelines; and maintain confidentiality regarding sensitive information. Furthermore, the ideal candidate will have skill inword processing at a net speed of not less than 35 words per minute from printed copy sufficiently to perform the work accurately and quickly; and entering and retrieving data from a computer with sufficient speed and accuracy sufficient to perform assigned work.

QUALIFICATIONS:Any combination of experience and training that would provide the required knowledge, skills, and abilities would be qualifying. A typical way to obtain the knowledge, skills, and abilities would be:

Experience: One year of general clerical experience involving public contact.

Training: Equivalent to graduation from high school, including or supplemented by courses in typing, data entry, and general business.

THE SELECTION PROCESS:

Qualified candidates will be invited to participate in a written examination (pass/fail). This examination will consist of the following components: clerical knowledge, reading comprehension, written communication, mathematical ability, and interpersonal relations. This assessment is tentatively scheduled for Thursday, May 8, 2025. 

Candidates who achieve an overall minimum passing score of 70% or higher on the written examination will be placed on an eligibility list for this job classification.

Benefits

Retirement:CalPERS retirement formula is 2% at age 60 for Classic members or; 2% at age 62 for “new members” as defined by Government Code §7522.04(e). Social Security and Medicare participation and the option to participate in 457 deferred compensation plans. City contributes equivalent of 1.5% of base pay towards a medical after-retirement account, with an employee contribution of 1% of base pay each pay period.

Health Insurance: City offers a choice of medical HMO (two providers) or PPO plan, and offers vision and dental coverage. City pays 100% of vision and dental premiums for employee and eligible dependents. Employees shall contribute 10% of the HMO premium cost based on category of coverage (single, two, family).  For PPO, employee pays cost difference between PPO and HMO plans. City provides 100% City-paid short- and long-term disability insurances. The City offers a discretionary benefit account for employees who demonstrate health coverage elsewhere.

Vacation:Fifteen to thirty working days annual vacation, based on the length of service.

Holidays:Thirteen total paid holidays per year plus one floating holiday.

This classification is in an employee bargaining unit.

Special Instructions

  3. Polygraph
  4. Pre-Employment Medical Examination and Drug Screen

A conviction history will not necessarily disqualify an applicant from appointment. Determinations are made on a case-by-case basis with consideration given to the nature and recency of the conviction and relationship to job duties. All City standards must be met before the final appointment is made.
