Job Summary

Heavy Seas Beer is seeking an enthusiastic self-starter to work in our Accounting Department. The Administrative and Accounting Assistant performs duties in support of the financial record-keeping function of the brewery by following specific instructions and well-defined procedures. This position works closely with the Controller, as well as the Production and Marketing teams to ensure that all accounting and financial record-keeping tasks are completed accurately and in a timely manner. Full-time, non-exempt position.

Primary Duties and Responsibilities:

Office Management & Front Desk

  • Answer incoming calls on multi-line phone system and direct calls to appropriate staff or take detailed messages as necessary; assisting callers with general inquiries
  • Respond to vendor, client and general information messages and emails in a timely manner
  • Perform file maintenance, copying, and package handling
  • Receive and process mail; coordinate outgoing mail
  • Maintain and order office supplies to assure uninterrupted daily operations
  • Greet clients, vendors and visitors to the office in a timely, courteous and professional manner
  • Produce data reports as needed on a variety department-relevant topics
  • Become the on-site expert and point of contact for processes in Square and Nexonia

Accounting and Financial Record Keeping

  • Account Receivable/Billing
    • Generate, email and file customer invoices daily
    • Square POS software
      • Have an in-depth understanding of BOH and FOH functionality
      • Record invoices for on-site sales using data exports
      • Perform reconciliations of these invoices in Quickbooks
    • Respond to customer account inquiries
    • Maintain customer files and information
    • Assemble and file Brew Ops reporting
  • Accounts Payable
    • Oversee AP process for accuracy, resolve discrepancies and reconcile statements
    • Enter inventory receipts in EKOS
    • Enter invoices into QuickBooks and route them for approval
    • Process purchase orders, generating new POS items & Purchase Orders as needed
    • Maintain physical vendor files and digital information in EKOS & QuickBooks
  • Employee Expenses
    • Oversee employee expense reporting process in Nexonia
      • Have an in-depth understanding of the software
      • Review reports, approve and enter in QuickBooks
      • Ensure that expenditures align with company policy
    • Manage employee mileage and phone receipts to ensure timely reporting

Required Skills & Experience

  • Bachelor's degree in accounting or relevant work experience
  • Competency in QuickBooks and either MS Office or G Suite
  • Self-starter, detail-oriented, ability to multitask and meet deadlines
  • Well organized, with excellent written and oral communication skills
  • Problem Solver - works to identify and resolve problems in a timely manner; develops alternative solutions if needed
  • Team player - is comfortable working in a team environment, as well as an individual setting

Physical Demands & Work Environment

  • Ability to lift up to 50lbs
  • Ability to stay seated at a desk for extended periods of time, as well as ability to stand and move around for extended periods of time
  • Work environment has a moderate to loud noise level (moderate noise - office with printers and computers; loud noise - factory or manufacturing space)

Compensation

  • While based on experience, salary range is $55,000 - $60,000
  • Company subsidized health, dental and vision insurances available
